Self-service scheduling portal

Downing Displays provides an online client portal that allows the exhibiting team to designate configurations, reserve assets, and schedule deployments directly. The system provides real-time visibility into asset availability, including alerts when a specific configuration is heavily scheduled and may require advance planning or supplemental assets. Rather than coordinating asset reservations by phone or email, the team logs in, selects the configuration, designates the show, and reserves it. Downing Displays manages everything from that point forward: pulling the assets, inspecting them, coordinating freight, and returning them to inventory after the show.

Program-level coordination

Downing Displays manages the scheduling, logistics, and vendor coordination across the program so the internal team does not have to. Freight is coordinated, show services are managed, and the timeline for each deployment is tracked against the broader program calendar.

Configuration management across varying show environments

Multi-show programs rarely deploy the same configuration to every event. Island booths for flagship shows, inline configurations for regional events, and portable displays for high-frequency programs: all are managed within a single coordinated program, with each configuration documented, maintained, and deployable on schedule.

Centralized asset management

Every exhibit asset in the program, whether owned or rented, large-scale or portable, is tracked, inventoried, and maintained within Downing Displays’ storage and inventory system. The program has a single source of truth for what exists, where it is, and its condition.

Inspection and refurbishment between deployments

Every asset that returns from a show is inspected before it goes back into the rotation. Damage is documented and repaired. Graphics are assessed for currency and condition. Nothing goes out unready, regardless of how tight the schedule between shows is.
